Step 1:  

  • Open any browser 
  • In the URL box type the IP for the RICOH Printer
  • Click "Enter"

IP: 128.173.XXX.XXX | this example uses Google Chrome

Step 2:

  • A page that says “not secure” will appear (because it’s not using HTTPS) 

NOTE: This message is normal and not actually a security risk.

  • Click “Proceed”

Step 3: 

  • Select “Login” at the top right corner of the page 

Step 4: 

  • Type in the login information

NOTE: Talk to a CLAHS IT Specialist or Copier Management for the Login Information.

Step 5:

  • Hover over “Device Management” 
  • Select “Address Book” 

Step 6: 

  • Make sure “Easy Input” is selected
  • Select “Add User” 

Step 7: 

  • Add a checkmark next to any settings you are adding for the new user.
  • Check User Authentication if you’re RICOH is set up with User Codes.

NOTE: Make sure to click the arrow at the bottom right, you will not be able to see the button for going to the next page (on the bottom left) until you do this. 

Step 8: 

  • Enter the users Name and Key Display 

NOTE: The Key Display is how the user’s name will show up at the printer interface. Example: the user’s name, nickname, or “anonymous,” if the user doesn’t want their name displayed on the printer.

  • Scroll down and select “Go to Next”

Step 9: 

  • Enter the user’s email 
  • Put a checkmark next to “Register as both a destination and sender” 

NOTE: This allows the user to send an email from the printer to another user while showing as if the email came from that original user, not the printer. Example: If you wanted to scan something and send it to another user, they would receive the scan as sent by “your name” instead of “RICOH.”

  • Select “Go to Next” 

Step 10 (OPTIONAL):

  • This step is optional if you have User Codes enabled on your RICOH Printer. 
  • Enter a numeric code for the user 

NOTE: They will need this code in order to copy and scan at the printer. 

  • You can enable or restrict color, black and white printing, copying, scanning, etc. for this user.
  • Select "OK" 

Step 11: 

  • Review/verify the final information 
  • Select “OK” 

Step 12: 

  • Verify that the new user shows up in the address book 
  • The user can now copy, fax, and send scan to email from the RICOH.
